Our Top 7 Tips on How to Use AI Effectively
15 April 2025

Artificial Intelligence is transforming the workplace from writing emails to analysing data, but as they say in Spiderman movies, ”with great power comes great responsibility”. At Aspen Solutions, we believe AI should be seen as a tool to enhance your productivity, not replace your skills. So how do you use it well without falling into the trap of misinformation? We asked our super team to give us their top tips:
1. Double Check Everything
AI is brilliant, but it’s not perfect. Always cross-reference the information it provides. It might sound confident, but that doesn’t mean it’s correct.
2. Keep Your Voice
AI-generated content often sounds robotic, or worse, generic. Whether you’re writing web copy or replying to emails, keep your tone and personality in your content. That human touch is still what connects most with your customers.
3. Don’t Let AI Do Your Job For You
Think of it as a helpful assistant, not a replacement. AI is there to speed up the boring bits, leaving time for the parts you enjoy and steps that grow your business.
4. Be Security Savvy
Never input confidential information into AI tools. Sensitive data could end up being used to train future models and that’s a risk not worth taking by you or your business. We are Microsoft CoPilot Partners and on this platform, it will never be used to train an open source model, your data stays within your Microsoft Tenant boundary.
5. Set Clear Goals & Prompts
Want useful results? Start with a clear objective and prompt. Use specific instructions like “summarise this report” or “compare these two solutions” to get what you need.
6. Know Enough to Know Better
The only way to fact-check AI is to understand the topic yourself. Make sure you’re doing your own research and not outsourcing your thinking.
7. Test and Measure
Every team and every workflow is different. Play around with AI tools to find out how they can support your role best. Identify time-consuming tasks that can be streamlined, so you can spend more time on the work that matters.
While you won’t be an expert overnight, we suggest you take time to learn, test, and adapt – it’s part of the process.
