Delivering Seamless Cloud Print & Localised Service Support

The Challenge

SWGR was being supported directly by a large print brand, with all service calls routed through an offshore helpdesk. This resulted in limited local service control, frustrating delays, and users often needing to wait extended periods for issues to be resolved.

At the same time, SWGR was progressing a wider IT modernisation programme to remove all remaining on-premises servers. Their final dependency was the hosting of print servers, and the incumbent print provider offered no viable path to transition print and scan services to the cloud.

With devices spread across multiple floors, buildings, and sites, the business required a consistent and reliable print experience for users moving between locations, without increasing operational overhead.

The Solution

Aspen Solutions supplied and deployed a new Canon print fleet, standardising devices across the organisation to improve reliability, usability, and support consistency. To remove the need for on-premises print servers, Aspen Solutions implemented uniFLOW Online, Canon’s cloud-based print and scan management platform.

This enabled secure, seamless cloud print management, allowing users to authenticate and release documents from any device or location while maintaining a consistent user experience across all sites.

Aspen Solutions worked collaboratively with Fuzed IT, SWGR’s external IT partner, to support the rollout of the cloud print solution and ensure alignment with the client’s wider IT strategy. This joint approach helped streamline deployment and ensure a smooth transition away from legacy print infrastructure.

Aspen Solutions also replaced the offshore support model with a responsive, UK-based service desk and locally accredited Canon engineers. Service calls were simplified through a single point of contact, significantly improving response times and device uptime.
